This has been a very busy year for Donlen. Our focus is on providing the best technology solutions to allow you to efficiently run every aspect of your fleet. We’ve pushed out new updates and our next generation of Mobile Apps was released to all of our customers. To allow you to get the most out of our technology, we are providing access to resources that will allow you maximize the benefit of these new initiatives.

Driver Management System

The new Driver Management System allows you to effectively manage and store driver related information separately from vehicle information. The new user interface consolidates multiple screens into one easy-to-use section. The days of going to multiple screens to make changes are now a thing of the past.

Some of the new benefits include:

  • Independent management of driver information and vehicle information
  • Simplified vehicle assignment/reassignment administration
  • Improved searches for driver and vehicle history
  • Enhanced Business and Personal Mileage tracking and driver notifications
  • Ability to store a driver, a registration, and taxation address separately
  • Simplified setup of HR feeds to receive and populate employee data

Training Videos are available in FleetWeb. Just type “Discovery” in the FleetWeb search field, and then choose the video you want to watch by clicking the video hyperlink on the left of the screen.

Mobile Apps

To provide you with the most innovative technology available in the industry, Donlen has just launched updated versions of FleetWeb Mobile™ and DonlenDriver™ Mobile.

NEW: Our Vehicle Information Center Just Got Better!

Donlen is releasing our newest enhancements to the Vehicle Information Center (VIC) this weekend. VIC is the most popular tool in FleetWeb, and the functionality will help you work more efficiently than ever before.

New Action Items:

New action items are designed to help you enter requests quickly and with less clicks. With these latest action items, you now have the ability to request:

  • Help from your Account Manager without leaving VIC and starting a new e-mail. The new Request for Service link will send your Account Manager all of the specific vehicle information quickly, so they can resolve any questions you may have.
  • Duplicate or corrected registrations.
  • Insurance cards.

Better Visibility

  • We have now separated Contracts and Programs to display in two separate groups: Active Programs and Inactive Programs.

Lifecycle Cost Management: 36-Month versus 60-Month Sedan Lifecycle Cost Analysis

New Texas Inspection and Registration Requirement

Friday-Fleet-TEXASDonlen is preparing for the “Two Steps, One Sticker” initiative in Texas

In August, Donlen published information regarding upcoming changes in Texas to the vehicle inspection and registration process that will take effect on March 1, 2015. Currently, drivers have two separate stickers, one for the vehicle inspection and one for registration, each with different expiration dates. After March 1, Texas will only be issuing one expiration sticker for both. During the sync-up year (March 1, 2015 through February 29, 2016), drivers will be required to have a valid inspection at time of renewal. Once renewed, the vehicle registration and vehicle inspection will expire at the same time going forward. Drivers will then be issued one sticker with one expiration date. A vehicle inspection will also be required before initial registration or transfer of registration into Texas. Donlen has prepared for these changes and implemented new processes to make the transition simple and straightforward. Among the steps we have taken are:

  • Modified the registration communication to clearly explain the change and what is required
  • Created a dedicated e-mail address and fax number for Texas drivers to communicate with the Donlen licensing team (this will be published on our registration communication)
  • Utilized the inquiry tool provided by the state of Texas (expected to be available mid-February) to validate if drivers have completed the necessary inspection for renewal and will automatically submit the transaction for processing if completed

Hours of Service Rule Change

President Obama signed the Omnibus Appropriations bill into law which immediately prohibits the enforcement of the current 34-hour restart.

The Federal Motor Carrier Safety Administration (FMCSA) is reverting back to the previous provisions. Click here for a copy of the Summary of Hours of Service Regulations.

National Registry of Certified Medical Examiners

Beginning January 30, 2015, all Commercial Driver License (CDL) holders will be mandated to renew their medical certificate and be examined by a member of the National Registry of Certified Medical Examiners. To find a medical examiner in your area, please visit:

CDL Holders Must Self-Certify

FMCSA regulations require all CDL holders to self-certify as to what type of driving he/she performs or expects to perform.

Base jurisdiction Division of Licensing requires each holder of a CDL to be medically certified. By completing the form provided by each jurisdiction, the driver must respond to four questions and provide a copy of their current medical card.

  • Non-excepted interstate: I certify that I operate or expect to operate in interstate commerce.
  • Excepted interstate: I certify that I operate or expect to operate in interstate commerce but, engage exclusively in transportation or operations excepted under 49 CFR 390.3(f) i.e. farm related service industries, 391.2 i.e. Apiarian industries, 391.68 i.e. private motor carrier of passengers (nonbusiness), or 398.3 i.e. transportation of migrant workers.
  • Non-excepted intrastate: I certify that I operate or expect to operate ONLY in intrastate commerce.
  • Excepted intrastate: I certify that I operate or expect to operate in intrastate commerce but, engage in transportation or operations excepted from all or parts of the State driver qualifications requirements.

Donlen Elves Bringing Holiday Cheer to Kids

This week Santa and Donlen have joined forces to bring the children of Jenner Academy a little bit of Christmas magic. Jenner Academy is a school located in the Cabrini Green neighborhood of Chicago. 98% of the students who attend the school are from low income families. Each holiday season, Donlen employees select ornaments (students wish list) from a tree, which will allow each student to receive a gift for the holiday. “All of the hard work and time spent wrapping gifts is well worth it when you see the smiles on the children’s faces,” said Ann Jonas, head of Donlen’s Social Responsibility Committee. Jonas continued, “Santa and the Donlen Elve’s will be up bright and early this Friday morning to deliver some holiday cheer to the Jenner students.”
